COMPENSATION:      $25.00/hour - $29.00/hour; Benefit Eligible
 
JOB SUMMARY
The Instruction & Program Coordinator supports faculty, students, and program operations within MacPhail’s Contemporary Music Program (CMP). Reporting to the Director of the Contemporary Music Program, this position focuses on the smooth delivery of instruction across jazz, pop, rock, digital music, improvisation, composition, and related contemporary offerings. The Coordinator serves as a central point of support for faculty scheduling, pedagogy, student placement, marketing needs, and communication across multiple instructional settings. This role is essential to ensuring an excellent student experience and maintaining consistent, high-quality program operations.


RESPONSIBILITES and ESSENTIAL FUNCTIONS
Faculty Support & Instructional Coordination
  • Serve as the primary operational support for faculty teaching individual lessons, group classes, workshops, and ensembles across contemporary styles
  • Assist with faculty scheduling, room reservations, and coordination of teaching locations
  • Support faculty onboarding in Contemporary Music Program (CMP)-specific pedagogical approaches, curriculum resources, and instructional expectations
Student Placement, Scheduling, & Program Flow
  • Work closely with Student Services and the Director to streamline inquiry intake, placement processes, and registration pathways for students pursuing contemporary music instruction
  • Track student placements, changes, progress, and waitlists; anticipate and help solve scheduling efficiency issues
  • Act as a resource for families and students seeking guidance on instructors, instruments, ensembles, and learning pathways
Program Operations & Administrative Support
  • Maintain up-to-date program calendars, course listings, ensemble rosters, and instructional materials
  • Assist with planning and coordination of recitals, showcases, concerts, festivals, camps, and other events related to contemporary music
  • Monitor enrollment trends and support the Director in preparing data for program decisions
Marketing, Communications, & Outreach
  • Gather and prepare content for marketing, including instructor highlights, student stories, class descriptions, and event updates
  • Help with community outreach efforts and partnership communications as needed
Program Quality & Pedagogy
  • Support the implementation of curriculum standards and pedagogical best practices for contemporary instruction
  • Help monitor program quality through faculty feedback channels, student evaluations, and informal check-ins
QUALIFICATIONS
Education
  • Bachelor’s Degree in Music or a related field or relevant certification and/or experience, required
Experience
  • Minimum of 3 years of experience in an administrative or similar role, required
  • Minimum of 3 years of experience in Music Education teaching contemporary, jazz, and/or music technology, required
Skills & Abilities
  • Strong knowledge of contemporary music genres and their pedagogies, including improvisation, composition, production, and ensemble collaboration
  • Strong organizational and project management skills, including attention to detail and time management
  • Effective written and verbal communication skills
  • Commitment to inclusive, student-centered teaching
